CIArb Bahamas Branch
Refund and Cancellation Policy
Effective date: 14 October 2026
1. Scope and contact
This policy applies to paid registrations for CIArb Bahamas events made through ciarbbahamas.com. Sponsorship payments are governed by the applicable sponsorship agreement. This policy does not restrict rights that cannot lawfully be excluded.
Refund and cancellation requests: info@ciarbbahamas.com. Include the attendee name, registration reference and payment transaction reference.
2. Cancellation by an attendee
An attendee who submits a written cancellation request at least 45 days before the scheduled start of the event is eligible for a refund of 75% of the registration amount paid. The remaining 25% is retained as the disclosed cancellation deduction, subject to applicable law.
For cancellations received fewer than 45 days before the event, no ordinary refund is payable, except where applicable law requires otherwise or CIArb Bahamas approves an exception in writing. The cancellation deadline is calculated by reference to the event’s published start date and time in The Bahamas (Eastern Time).
All cancellation requests should be emailed to info@ciarbbahamas.com. Receipt of the request does not itself mean the refund has been approved or completed.
3. Attendee substitutions and attendance mode
Requests to replace an attendee may be made up to seven (7) business days before the event and are subject to CIArb Bahamas approval and receipt of the replacement attendee’s information.
A change between in-person and virtual attendance is subject to availability and approval. Any price difference or refund will be confirmed before the change is finalised.
4. Cancellation by CIArb Bahamas
If CIArb Bahamas cancels an event and does not deliver the purchased registration service, affected attendees will be offered a refund of the registration amount paid. An alternative event or credit may be accepted only with the attendee’s agreement.
5. Postponement and material changes
If an event is postponed or materially changed, attendees will be told about the revised arrangements and the available options, which may include keeping the booking, agreeing to an alternative or receiving a refund where applicable. Minor speaker or programme-order changes do not ordinarily amount to cancellation of an event.
6. Virtual attendance interruptions
If an organiser-side or delivery-provider technical failure materially prevents delivery of purchased virtual access, CIArb Bahamas will assess an appropriate remedy, potentially including replacement access, an agreed alternative or a refund. Difficulties solely with an attendee’s own equipment or internet connection do not automatically qualify for a refund.
7. Duplicate or incorrect payments
Verified duplicate charges or amounts collected in error will be corrected or refunded. Contact info@ciarbbahamas.com promptly with the relevant registration and transaction references.
8. Sponsored and complimentary registrations
EDLS sponsored registrations and other complimentary passes have no paid ticket price to refund. Attendees unable to attend should notify CIArb Bahamas so an allocation can be released or reassigned if permitted.
9. Non-attendance
Failure to attend does not automatically give rise to a refund. Requests will be assessed under the cancellation terms above, any approved exception and applicable legal rights.
10. Refund review and timing
CIArb Bahamas will ordinarily review a properly submitted refund request within seven (7) business days. Once a refund is approved, CIArb Bahamas will ordinarily initiate it within five (5) business days.
Approved card refunds are ordinarily sent to the original payment method through Bank of The Bahamas using the relevant transaction reference. Actual receipt of funds depends on the bank and payment provider. An alternative refund method will be used only where necessary and appropriately verified.
Never submit a full card number, card security code or password when requesting a refund.
11. Travel and accommodation
This policy covers event registration charges only. Travel, hotel bookings and other services independently purchased from third parties must be addressed with their respective providers.
12. Contact
For cancellations, refunds, substitutions or payment corrections, email info@ciarbbahamas.com. Include the attendee name, registration reference and transaction reference, but no full payment-card details.
